License, Procurement and Administrative Associate

**Position Summary**
The **License, Procurement and Administrative Associate** provides procurement, administrative, and operational support to the Information Technology (IT) department. This role administers the procurement process for IT assets, licenses and services. In addition, this role manages invoice processing and Purchase Card coding, campus print and cell phone billing, and is involved in special projects as necessary. This role also acts as the IT representative in liaising with the TWU Enterprise Service Management team (Service Hub).
**Key Areas**
- **Procurement and License Administration**
- Ensure all IT assets, licenses and services are procured in a cost-effective and timely manner
- Administer IT procurement processes - prepare and administer procurement documentation, prepare POs and contracts, place orders and track the receipt of equipment and services, code invoices and ensure they processed according to Finance guidelines and processes.
- Track inventory of IT supplies such as adapters, cables, laptop chargers, and maintain sufficient stock levels.
- Document and maintain the campus software inventory and subscriptions
- Purchase office supplies for IT services.

Office Administration*
- Administrative functions are carried out in a timely manner, freeing up technical staff to deliver IT operations, project and continuous improvement services to the University.
- Assist in budget planning and forecasting activities.
- Provide general office support including creation of word and excel and other MS office suite of product documents, photocopying, printing, mail pick up and delivery, filing, prepare items for courier etc.
- Secure and update reservations for rooms, catering and other meeting and event details.
- Circulate information to IT Services staff and external associates as required.
- Oversee the monthly charges for campus MFPs, cell phones, and Affiliate technical support.
- Administrate the campus print charging system and cell phone services.

- Provide project support on an ‘as required’ basis - scheduling, communicating, coordinating resources
- Liaise with the TWU Enterprise Service Management team to address issues, escalate requests, and improve internal processes and tools.

Experience*
Three to five years of related administrative experience preferably in a technology setting.

- Advanced Excel and Microsoft Office skills
- Ability to manage change effectively in the fast changing world of technology
- Excellent oral and written communication skills

- Ability to work under tight deadlines
- Ability to work in a busy environment, with frequent interruptions, while prioritizing and resolving user requests
- Ability to work effectively as a member of a team
- Strong organizational and time management skills, competent self-starter
- Availability for occasional off-hours or weekend tasks
