**Summary**
We are currently hiring for a Support Team Admin/Office Coordinator to join our Western Canada team. The Support Team Admin/Office Coordinator will provide full administrative support to the Western Canada business unit, including general office management duties. The Support Team Admin/Office Coordinator will organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency, and safety. You will be experienced in handling a wide range of administrative duties and executive support-related tasks and are able to work independently. The role is a great fit for you if you are well organized, flexible, and above all else, passionate about customer service and teamwork.
This role is a key support to our non-operations leadership team, including HR, Facilities, Merchandising, Finance and Fuel (among others).
**Key Responsibilities and Accountabilities**
- Operate as the point person for maintenance, mailing, shipping, supplies, equipment, bills, and errands for the Western Canada office.
- Organize and schedule meetings, travel and appointments as required.
- Partner with HR to maintain office policies as necessary, and support with onboarding.
- Organize office operations and procedures and coordinate with IT department on all office equipment.
- Manage invoicing, expenses and accounts payable for the Western Canada office.
- Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved, and that clerical functions are properly assigned and monitored.
- Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office.
- Participate actively in the planning and execution of company events.
- Manage the execution of the Western Canada Fleet Program and Employee Recognition Programs
**Profile Requirements**
- A strong focus on teamwork, collaboration and customer service are a must-have.
- Completion of a College Diploma or Office Administration program an asset.
- 2+ years of administrative or office manager/coordinator experience required.
- Ability to adapt and strive under pressure
- Ability to prioritize and work effectively within stated timeframes and deadlines
- Excellent communication, interpersonal & organizational skills
- Detail-oriented with strong project management skills
- Ability to exercise good judgement, show initiative and be proactive
- High ethical standards and confidentiality in handling sensitive information
