This position is based in Montreal, Quebec, and is part of the rapidly expanding ATTA group of elevator companies with operations in Halifax, Montreal, Toronto, Ottawa, Hamilton, Winnipeg, Calgary, Edmonton, Vancouver, Victoria, St. Louis, Cleveland and New York.

**THE POSITION**
ATTA Elevators is seeking a qualified individual to join our team remotely for a few months while we set up our new location. This location will either be in the Northeast part of Montreal or within Laval, QC. This position will require an individual who is able to work and learn independently. They will also need to be capable of getting to work once the office is up and running. This position will report directly to the Regional Vice President. The Regional Administrators primary responsibility will be to assist in ensuring smooth operations for the company and its customers and provide a wide range of highly skilled administrative tasks to support the Regional Vice President.
Duties and responsibilities will include but are not limited to the following:
- Assist with overseeing and maintaining contractor, subcontractor, and supplier agreements
- Assist with assembling bid packages
- Assist in creating purchase orders
- Generate and maintain project documentation such as change orders, cost records, labour hours and material use
- At the request of the Regional VP, draft important letters to clients, contractors, vendors, and regulatory bodies to facilitate professional and official communication during projects.
- Assist with project closeout processes such as, final inspections, clearing the property for occupancy, verifying that we have satisfied all project requirements, and ensuring the completion of all final legal compliance checks.
- Schedule and coordinate service appointments between customers and service technicians to ensure timely repair and maintenance of equipment
- Process work orders, including the creation, updating, and closing of orders, to track and document service activities accurately
- Manage and maintain service records, inventory records and documentation, ensuring all service and shipping/receiving activities are logged and customer information is up-to-date
- Handle customer inquiries and complaints, providing high-quality customer service to resolve issues and maintain customer satisfaction
- Order, track, and manage inventory of parts and supplies needed for service operations, ensuring availability and minimizing delays
- Conduct quality inspections of outgoing shipments to ensure that items meet quality standards and are properly packaged for transit
- Communicate with internal teams, external suppliers, and carriers to coordinate shipping activities, resolve shipment discrepancies or issues, and provide updates on shipment status
- Identify and resolve shipping-related issues such as incorrect shipments, damaged goods, or delays in transit, and implementing corrective actions to prevent reoccurrence
- Adhere to safety protocols and regulations, including proper handling of hazardous materials, and ensuring compliance with shipping regulations and customs requirements.
- Maintain a high degree of discretion and confidentiality
- Assist with maintaining employee schedules, time and attendance and other employee statuses in our cloud-based management software, Liftkeeper
- Point person for office maintenance, mailing, shipping, supplies, equipment, bill, and errands for the office
- Maintain and organize departmental files, records, and documentation
- Act as a point of contact for internal and external customers
- Perform other duties as needed
**Qualifications & Skill Requirements**
- Fluent in French and English
- Previous experience in Shipping and Receiving
- Knowledge of Elevator and/or Construction processes and regulations is considered an asset
- Minimum 5 years experience in an Administrator or Operations-related role
- Strong understanding of business management, and financial principles
- Outstanding organizational, prioritizing, and time management abilities
- Excellent communication and interpersonal skills
- Exceptional problem-solving
- Ability to adapt to changing situations and must be able to work in a fast-paced environment and manage multiple deadlines
- Creative and able to think outside the box
- High attention to detail
- Advanced knowledge and experience using computer software/systems - preferred experience with Liftkeeper, BambooHR, Citation/HR Downloads, and Business Central Dynamics 365,
