- Champlain College Saint-Lambert is seeking the services of an ADMINISTRATION TECHNICIAN to support the operations of the Learning Centre, with a focus on promoting student success through academic support services.
This is a regular full-time position (35 hours/week).
FUNCTIONS
Reporting to the Dean of Curriculum & Faculty Development, the incumbent will:
- Organize tutoring programs and associated resources;
- Assist the Professional (Pedagogical Counsellor) responsible for the Learning Centre in organizing workshops;
- Provide support to the Centre de ressources en français langue seconde (CRF) and the English Writing Centre;
- Perform administrative tasks, including payroll entries for Learning Centre tutors;
- Maintain a welcoming environment for students;
- Contribute to the continuous improvement of academic support services.
This role is integral to ensuring the effective delivery of academic support and fostering student success.
**MAIN RESPONSIBILITIES**:
1. Learning Centre Operations
- Ensure the efficient operation of the Learning Centre by providing available academic resources and support services to students both in-person and virtually;
- Maintain detailed records of the Learning Centre's activities, including tutoring sessions, workshop participation, and usage statistics for evaluation, reporting, and strategic improvement;
- Monitor and replenish supplies and learning materials, including digital tools, study guides, and resources for peer tutors;
- Organize the Learning Centre’s calendar, including workshop schedules, tutoring appointments, and resource booking systems.
2. Tutoring Program Operations
- Organize the recruitment, onboarding, and training of peer tutors, ensuring that they are well-prepared to provide academic support;
- Facilitate and support tutor evaluation processes, including student feedback collection and performance reviews, to ensure the quality of tutoring services;
- Arrange tutoring sessions and match tutor availability to align with student demand;
- Handle payroll entries for tutors, ensuring accuracy and timeliness;
- Collaborate with faculty and departments to identify specific academic areas requiring additional tutoring support.
3. Student Support and Academic Success
- Facilitate personalized academic support to students, particularly those on academic probation or readmission, helping the Pedagogical Counsellor in goal setting, resource navigation, and skill development;
- Collaborate with the Student Access Centre to ensure the Learning Centre is inclusive and accessible for students with disabilities or specific learning needs;
- Maintain confidentiality and professional boundaries while supporting students facing academic challenges.
4. Workshop and Resource Coordination
- Assist the Pedagogical Counsellor with the planning, promotion, and facilitation of workshops on key academic skills (e.g., time management, study techniques, note-taking, presentation skills);
- Assist in identifying emerging student needs and suggest new topics for workshops or resources;
- Support the Pedagogical Counsellor in the development of online learning tools and materials to complement in-person workshops.
5. Outreach and Community Engagement
- Support initiatives such as a First-Year Success Program to enhance the transition to college life;
- Liaise with departments, committees, and external partners to strengthen and expand Learning Centre services.
6. Administrative and Technical Support
- Ensure compliance with institutional policies and procedures related to Learning Centre operations;
- Troubleshoot and maintain technological tools and platforms used for tutoring and student support, such as scheduling software, virtual meeting platforms, and learning management systems;
- Perform other administrative tasks as required to support the Learning Centre’s mission and goals.
**Requirements**:
- Education:
Diploma of Collegial Studies (DEC) in administration with an appropriate specialty or a diploma or an attestation of studies which is recognized as equivalent by the competent authority.
Skills and Qualifications:
- Proficiency in French and English, both oral and written.
- Strong organizational and time-management skills.
- Knowledge of digital tools and platforms for academic support (e.g., scheduling systems, learning management systems, virtual meeting tools).
- Excellent interpersonal and communication skills, with the ability to work collaboratively with students, faculty, and staff.
- Ability to handle confidential information with discretion and professionalism.
