Vera Dental Group is a rapidly growing dental group operating three locations across the Greater Toronto Area (GTA). We are dedicated to providing top-tier dental care while ensuring operational excellence across our clinics. As we continue to expand, we seek a highly organized, proactive, and dedicated Executive Assistant to support our CEO in managing the daily operations and strategic initiatives of our group.
**Role Overview**:
**Key Responsibilities**:
- **Task Management**: Manage the CEO’s to-do list, with the ability to understand and anticipate their needs to handle tasks on their behalf.
- **Project/Initiative Management**: Lead and manage 1-3 key projects or initiatives, from planning to execution, ensuring alignment with the CEO’s vision.
- **Financial Administration**: Handle basic financial tasks such as paying bills, processing invoices, and reviewing mail.
- **Reporting and Scorecards**: Prepare regular reports and update scorecards, tracking key performance metrics across the dental group.
- **Event and Travel Coordination**: Organize staff events, training sessions, and meetings, and manage all aspects of travel arrangements for the CEO, including booking flights, hotels, and transportation.
- **Personal Assistance**: Assist with personal tasks for the CEO, including managing appointments, coordinating household services, and handling personal errands.
- **Crisis Management**: Act as the first line of defense in handling unexpected issues or crises, resolving problems efficiently and independently.
- **Errands and In-Person Tasks**: Run errands and handle tasks that require a physical presence, including attending offsite meetings or managing event logistics.
**Key Qualifications**:
- Proven experience as an Executive Assistant or in a similar role, preferably supporting a senior executive.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong written and verbal communication skills.
- Ability to handle sensitive information with confidentiality and discretion.
- Proficiency in office software (e.g., Microsoft Office, Google Workspace) and familiarity with task management tools.
- Experience with QuickBooks and knowledge in accounting is a plus.
- Valid driver’s license and access to a reliable vehicle for running errands.
- Flexibility to work both in-office and remotely, with the ability to travel across the GTA as required.
**Job Types**: Full-time, Permanent
Pay: $55,000.00-$65,000.00 per year
