Office Administrator/Commercial Dispatcher

**Location**: London, ON

**Opportunity**: Our London operation is looking for an Office Administrator/Commercial Dispatcher to join their growing team.

**Responsibilities**:

- Must adhere to Miller Waste Systems safety protocols and must be familiar with the Occupational Health & Safety Act.
- Greet and assist customers and visitors upon arrival at the office.
- Sort and distribute incoming and outgoing mail, as well as courier packages.
- Answer incoming calls for both residential and commercial inquiries and forward concerns and actionable items to the appropriate supervisor and/or driver(s) for remedy.
- Coordinate, schedule and dispatch all commercial calls appropriately (delivery and removals). Communicate with commercial drivers to confirm bin delivery and placement at new locations.
- Print and distribute route sheets for commercial drivers and make adjustments as needed based on unexpected events (ex: call ins, breakdowns, inclement weather).
- Answer incoming calls from commercial drivers and resolve any issues in a timely manner (ex: lift issues, blocked or tagged bins) and escalate concerns to management as needed.
- Assist the management team with new customer accounts.
- Utilizing the TRUX system, you will ensure the daily closing of routes, customer issues, and confirm that all scale tickets have been entered properly.
- Further utilizing the TRUX system, you will complete month end billing to properly bill all temp and permanent customers as well as residential contracts and run misc. transactions for OCC and metal rebates. You will run unbilled reports on a consistent basis and communicate with the finance department when commercial and residential billing is completed.
- Generate and review unbilled revenue reports in preparation for monthly invoicing and EPR contract administration.
- Work in tandem with A/P to address late payments and suspended customer accounts.
- Utilizing the Bambora program you will perform refunds for temp customers.
- Update service pricing and generate invoices as per contract agreements.
- Run monthly customer service reports.
- Run daily payroll and reconciliation reports in the Ceridian Dayforce system.
- Ensure regular communication with Route Supervisors and Management on a daily basis.
- Filing and general maintenance of all administrative documents, update daily records, as well as any other general administrative duties as required (both manual paper and electronic filing system).
- Printing and distribution (posting) of various documents and announcements.
- Maintain office supply inventories.
- Other duties as assigned.

**Competencies & Qualifications**:

- Previous experience within the waste industry is considered an asset.
- Familiarity with London, Elgin and Middlesex Counties and their surroundings is considered an asset.
- Highly productive team player with excellent written, oral and customer service skills.
- Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
- Familiarity with TRUX, GeoTab, Ceridian Dayforce, and Yooz is considered an asset.
- Must have a strong attention to detail and accuracy in your work.
- Superior communication and organizational skills are key for this role, as is your ability to manage multiple priorities with strict deadlines.
- Must be able to work independently with mínimal supervision.
- Flexibility with your work schedule is necessary as start and end times may vary. Statutory Holidays will be required at times.
- Excellent attendance and performance record.
- This position requires you to work from the London office 5 days a week, Monday to Friday, starting at 7:30am to 4:00pm. Occasional work outside these hours may be required. This is not is not a remote position.
