**Job Summary**:
Atlas Dewatering is seeking an Office Administrator with extensive knowledge in accounts receivable, accounts payable, payroll, and inventory management systems. This position will be a vital role in our growing branch including the direction and supervision of office employees.
**Responsibilities**:
**Exaktime**
- Setting up new jobs in the system including Geo-fence, site address, and contact information.
- Adding major equipment to software database.
- Comparing CVOR vehicle driver time sheets to CVOR driver log.
**Invoicing**
- Learning Jonas Construction Accounting Software for invoicing.
- Using Jonas to produce work order costing.
- Learning when to use Jonas to post an invoice or provide the client with a manual copy.
- Track manual invoices and post payment to Jonas.
- Issue and track purchase orders.
- Send Visa statements head office and code Visa receipts.
**Accounts Payable**
- Coding invoices for approval and file into appropriate billing file.
- Learning the accounts payable process and posting payment to Jonas.
**Accounts Receivable**
- Following up on outstanding invoices.
- Generating and mailing invoices with relevant supporting documents to customers.
- Create and distribute reports detailing accounts receivable status.
**Equipment Administration**
- Generate and distribute a list of all pump and job locations.
- Ensuring the master equipment list is up to date.
- Coding and scanning equipment work orders.
- Costing labour & materials for job billing files.
- Learn Texada and Fleet Manager Software.
**Job Folders**
- Creating and managing job folders.
- Creating new Exaktime job numbers.
- Arrange trucking and freight deliveries.
- Tracking clients contracts and P.O's.
- Reconciling delivery slips.
**General**
- Set up new hire files and maintain confidential personnel files.
- Manage phones, security, and property services.
- Manage heath benefits and time off receipts.
- Manage safety meeting minutes.
- Keep WHMIS documents current.
- Organize client meetings.
- Other duties as assigned.
**Job Types**: Full-time, Permanent
**Salary**: $46,000.00-$55,000.00 per year
