Job Summary:
As the Facility Administrative Assistant you will assist the Management team with the delivery of facility services to support the general upkeep of the building and grounds. Your duties will include assisting with the administration of the space management and maintenance programs, responding to urgent/unplanned service calls, liaising with service providers and working closely with the Office Services team to deliver excellent customer service.

**Responsibilities**:

- Assist with the coordination of weekly, monthly and seasonal facility maintenance tasks
- Participate in weekly office inspections and work with facility management to address deficiencies
- Responds to urgent/unplanned maintenance, coordinate service calls and liaise with service providers / subcontractors
- Process all work requests in facility tracking system including receiving work order requests, creating tickets, assigning tasks and closing out items as completed.
- Provides reporting on the status of open and closed work orders
- Assisting with the administration of the space management program for your location(s) and coordinating the facility maintenance tasks lists
- Be fully conversant with all corporate and site-specific safety, emergency, and security procedures
- Participates on emergency preparedness planning team
- Liaise with Office Services to provide support for internal employee focused events including but not limited to the annual Employee Giving Campaign

Qualifications:

- A minimum of two years of experience working in an administration capacity
- Previous experience in a customer service role
- Previous experience in a busy, professional office environment
- A strong ability to manage multiple tasks and set priorities in a fast-paced environment
- Effective problem-solving skills, with the ability to identify problems and generate solutions
- Must have good organizational skills and be detailed oriented
- Must demonstrate a clear understanding of deadlines and expectations
- Ability to operate in a team-oriented work environment
- Self-motivated with the ability to take the initiative to liaise with other departments and/or external sources
- Excellent customer service focus, with an ability to work collaboratively with others
- Exceptional communication skills both verbally and written
