Reporting to the Vice President, Patient Services Regional Lead, the Executive Coordinator (EC) is responsible for leading, coordinating and supporting a variety of regional and/or provincial program initiatives and activities for the Vice-President Regional Lead (VPRL) to advance Ontario Health atHome (OHaH) Vision, Mission, Values, and harmonization. This role provides advanced coordination, ensuring efficient administrative services and procedures are carried out to support the effective function of the VPRL, helping to ensure that timely, high-quality deliverables are achieved. This position is the first contact, primary resource and problem-solving facilitator for issues management related to the VPRL, requiring the ability to work effectively and independently with judgement, diplomacy, creativity, initiative and accuracy.

**What will you do?**
- Provides administrative oversight and is responsible for the coordination of administrative functions related to the VPRL regional and provincial programs
- Serves as the primary contact/liaison between the VPRL/Provincial VP Lead and internal and external stakeholders, including interactions with external partners across the health sector (e.g. OH, MOH, MLTC) and political offices (e.g. MPP, Patient Ombudsman), on behalf of the VPRL)
- Coordinates all administrative functions for the VPRL/Provincial VP Lead, including the establishment of internal protocols, tracking systems, and administrative policies and procedures
- Manages the VPRL/Provincial VP Lead schedule/calendar and coordinates meetings on the VPRL’s behalf, resolving and prioritizing scheduling conflicts
- Attends meetings with the VPRL to support minute-taking, keeps action logs and maintains work plans, ensuring deadlines are met
- Supports VPRL/Provincial VP Leads by tracking deliverables within the VPRL or Provincial VP Lead’s regional and provincial program responsibilities
- Coordinates and gathers information related to provincial reporting to the Ministry of Health and/or Ministry of Long-Term Care and/or Ontario Health
- Coordinates issues management process by identifying issue assignment to team member(s), communicates process by being the first point of contact for complaints from various sources (patients, family, MPP, Patient Ombudsman, etc.). Ensures VPRL awareness of high risk events
- End-to-end coordination of strategy planning sessions, team retreats and/or off-site meetings, communications and compilation of data, provides team building ideas; prepares attendance, registration, materials, presentations, surveys, etc.
- Responsible for the posting and/or distribution of final provincial program related resource materials to team members, portals and/or SharePoint sites
- Ability to prioritize provincial work and recognize issues that may impact provincial project timelines/deliverables, and bring them forward to VPRL/Provincial Lead
- Forecasts and anticipates the needs of and provides dedicated support to the VPRL. Using knowledge, expertise and professional skills, the EC is responsible for managing the daily administrative and program needs. This ensures that the VPRL can focus on providing leadership and delivering exceptional patient-centered care

**What must you have?**
- Post-secondary education in business, general administration, or related field. Undergraduate degree is preferred, however, equivalent experience in the field may also be considered
- Minimum of (five) 5 years of job-related experience in a senior administrative role supporting senior-level positions
- We have a mandatory COVID-19 vaccination policy. As a condition of employment, all employees are required to submit proof of COVID-19 vaccination status prior to start date
