**JOB OVERVIEW**
We are seeking a motivated and detail-oriented Sales Administrator & Accounting Support to join our dynamic team at Pro-Line Fittings Inc.

The successful individual is responsible for supporting the Sales team and accounting department and carrying out various administrative tasks in the company, including serving as the first point of contact for visitors, clients, and employees.

Additionally, they offer important administrative assistance and teamwork to various departments within the company to ensure efficient office operations. This role is crucial for maintaining a positive and professional atmosphere in the workplace and plays a significant part in the overall productivity and success of the organization.

**DUTIES & RESPONSABILITIES**

**Front Desk Management: (10%)**
- Welcome visitors with warmth and professionalism, leaving a positive impression.
- Maintain clean and organized reception and kitchen areas for a welcoming environment.
- Provide support to staff members with tasks such as photocopying, scanning, printing, and faxing documents.
- Other admin support when necessary

**Sales Administration/ Support (50%)**
- Work closely with the sales department and aid in daily sales administrative tasks.
- Receive Direct Ship Purchase Orders (POs)when confirmation of vendor shipment is received or as directed by Sales.
- Post receiving Goods Received Notes (GRNs) as received by shipping.
- Advise sales of all Receivables to expedite customer back orders and provide exceptional customer service.
- Maintain accurate records and filing systems for easy information retrieval.
- Responding to customer complaints and inquiries quickly and efficiently
- Building rapport with customers and supplies
- Identifying sales opportunities if needed
- Staying informed about product and service information updates
- Additional duties as assigned.

**Accounting Support (40%)**
- Support the accounting department with A/P and A/R
- Accurately input data into designated systems, prioritizing integrity and confidentiality.
- Maintain organized records, electronic and paper-based, for easy access.
- Managing invoices, data entry and reconciliation of payments
- Fact-checking accounting information
- Recording accounting transactions and communicating with the controller
- Ensuring all financial actions comply with local legal requirements
- Other accounting support as required

**SKILLS & QUALIFICATIONS**
- 2 to 3 years of experience in administration, inside sales and/or bookkeeping
- Post-secondary education: College diploma or certificate in office administration, Sales, or Bookkeeping
- Strong attention to detail and sales knowledge
- Ability to work on multiple projects while adhering to tight deadlines
- Proficient in Microsoft 365 and office management.
- Experience with Sage accounting software is an asset
- Excellent customer service
- Familiar with the general principles of accounting
- Clear communication and active listening
- Ability to process information well and excellent time management
- People-oriented and experienced in rapport-building
- Strong product knowledge is an asset but not necessary; training will be provided

Pay: $50,000.00-$55,000.00 per year
