**Shift: Monday - Friday 7:30am-4:00 pm**
**Position Summary**:The Administrative Assistant will play a key role in supporting daily operations by processing customer orders, coordinating shipping logistics, and providing timely and professional responses to customer inquiries. This role requires strong attention to detail, organizational skills, and effective communication to ensure accurate order fulfillment and excellent customer service within a fast-paced manufacturing and distribution environment.
**What you will do**:
- Accurately enter, process, and maintain customer orders in the company’s ERP/order management system, ensuring timely updates and accuracy.
- Verify product availability, pricing, and shipping details before confirming orders with customers.
- Coordinate shipping and logistics by obtaining freight quotes, preparing documentation, and liaising with carriers to ensure timely deliveries.
- Track order progress and proactively communicate order status, potential delays, or backorders to customers and internal teams.
- Prepare and issue invoices, shipping labels, and related documents as needed.
- Support the Sales and Operations teams with administrative tasks such as data entry, reporting, and document management.
- Maintain organized and up-to-date electronic and paper filing systems for orders, invoices, and correspondence.
- Serve as the first point of contact for internal and external inquiries.
- Assist in inventory tracking and reconciliation by updating system records and following up on discrepancies.
- Collaborate with the production, warehouse, and logistics teams to ensure smooth coordination of daily operations.
- Support continuous improvement initiatives by identifying process gaps and suggesting solutions for efficiency.
- Assist with general office administrative duties such as preparing correspondence, managing incoming/outgoing mail, ordering office supplies, and maintaining common areas.
- Participate in team meetings and contribute to a positive, solution-focused work culture.

**What will you need to be successful**:
- Previous experience in administration, order entry, or customer service (preferably in manufacturing, distribution, or logistics).
- Strong proficiency with Microsoft Office (Excel, Word, Outlook) and ERP/order management systems.
- Excellent communication skills (written and verbal).
- High attention to detail and accuracy.
- Strong organizational and multitasking abilities.
- Ability to work collaboratively in a team environment and independently when required.
**Must Have**:
- High School Diploma or equivalent required.
- Post-secondary education in Office/Business Administration or related field is an asset.
- Minimum 2 years of administrative experience, preferably in a corporate or office environment.
