**Job Overview**
A print shop office administrator is responsible for managing the day-to-day administrative tasks of a printing business, including customer service, order processing, invoice generation, inventory control, maintaining client records, handling phone inquiries, scheduling print jobs, and ensuring smooth office operations, while often collaborating with the production team to meet deadlines and maintain quality standards.

**Key responsibilities may include**:
**Customer service**:

- Greeting walk-in customers and assisting them with their printing needs.
- Managing customer accounts and maintaining client relationships.

**Order processing**:

- Receiving and reviewing customer artwork files to ensure print readiness.
- Generating accurate quotes and processing orders based on customer specifications.
- Coordinating with the production team to ensure timely completion of print jobs.

**Invoicing and billing**:

- Utilize QuickBooks for creating and sending invoices to clients in a timely manner.
- Monitoring outstanding payments and following up on overdue invoices.
- Using POS for transactions.

**Inventory management**:

- Tracking stock levels of printing materials (paper, ink, etc.).
- Placing orders for supplies to maintain adequate inventory.

**File management**:

- Maintaining organized digital and physical customer files.
- Archiving completed projects and important documents.

**Office administration**:

- Managing office equipment and supplies.
- Scheduling deliveries

**Requirements**:

- Proven experience in an office administration role or similar position.
- Managing multiple tasks and priorities effectively.
- Ensuring accuracy in order processing, invoicing, and customer information.
- Proficiency in QuickBooks is preferred.
- Understanding of different printing methods, paper types, and finishing options preferred, but not manditory.
- Ability to work independently as well as part of a team.
