Front Desk Administrator

We are seeking an experienced front desk administrator who will professionally represent the company by managing the reception area for both Regional Group and eQ Homes. In addition, you will provide administrative duties in support of the Executive team responsible for a) Human Resources, b) Multi-Family and Commercial Development and c) Land Development.
**About the role**
Your key accountabilities will include:
**Front Desk Reception**
In a friendly, engaging and welcoming manner, you will:
- provide full-time reception coverage.
- answer telephone, take & relay messages.
- greet persons entering organization, direct person to correct destination.
- deal with queries from the public and stakeholders.
- monitor visitor access & maintain security awareness.
- maintain the reception area, opening & closing procedures.
- process daily courier requests.
- maintain a daily logbook for client pick-ups & deliveries.
- update reception binder on a timely basis.
- open, sort and stamp daily external mail and scan as required.
- open and close Kosher Kitchen daily, ensuring adequate supplies are readily available.
- ensure meeting rooms are tidy after each meeting.
**Office Administration**
Simultaneously with your front desk reception duties, you will:
- maintain executives’ calendars by planning and scheduling meetings, conferences, teleconferences, and travel.
- assist with record tracking and filing, cheque requisitions and transmittals.
- complete and action monthly credit card statements for the Executives.
- maintain full contact list of all staff, Trade Partners, Consultants.
- assist with the annual budgeting process.
**About you**:
You are/have:
- friendly, engaging and positive.
- excellent organizational skills.
- mature in your approach with an attention to detail.
- at least 3 years of previous experience in an administrative position.
- bilingual (English and French is an asset).
- mature, pleasant and professional in your demeanor.
- proficient with Microsoft Word, Excel and Outlook.
- the ability to effectively prioritize and execute multiple tasks.
- excellence in written and verbal communications.
- flexible and embrace change.
