We are currently seeking a detail-oriented Parts Purchasing and Inventory Coordinator for our Acheson, AB location. This role involves sourcing and procuring trailer and automotive parts, managing inventory efficiently, and collaborating with our sales and service departments to ensure exceptional customer service. **Hours**:8:00 AM to 5:00 PM Monday to Friday; rotational Saturdays 7:30AM to 4:00PM (with preceding Friday or following Monday off).
**Key Responsibilities**:
- **Purchasing and Procurement**: Source and procure automotive parts from various suppliers, negotiate prices, terms, and delivery schedules, and prepare and issue purchase orders. Monitor market trends, pricing and availability to make informed purchasing decisions.
- **Inventory Management**: Maintain accurate inventory records, conduct regular audits and cycle counts, adjust system settings and address discrepancies to avoid stock outs. Efficiently replenish inventory to maintain target stock levels.
- **Supplier Management**: Develop and maintain relationships with suppliers, evaluate their performance, and source new suppliers to ensure competitive pricing and quality.
- **Order Processing**: Track orders and expedite if needed. Support trade compliance and coordinate customs clearance with our customs broker. Oversee the receipt, inspection, and storage of parts, ensuring proper labeling and storage, and manage the timely distribution of parts. Process returns and exchanges for defective or non-compliant parts for customers, both internal and external.
- **Cost Control**: Prepare and analyze Freight Cost Reports, budgeting, and auditing. Monitor and control inventory costs, implement strategies to reduce excess inventory, and analyze purchasing forecasts and trends to forecast future needs.
- **Documentation and Reporting**: Maintain detailed records of purchases, inventory levels, and supplier performance, and prepare / analyze regular reports.
- **Collaboration**: Work closely with sales, service, and leadership teams to understand parts requirements, coordinate with finance for timely payment of invoices, and assist in resolving parts availability or quality issues.
- **Continuous Improvement**: Identify opportunities to improve purchasing and inventory processes, implement best practices, and stay updated on industry trends and new products.
**Ideal Qualifications**:
- Post-secondary training in Business, Supply Chain Management, Purchasing or related field (preferred).
- Minimum 3 years’ experience.
- Strong understanding of supply chain and procurement practices, including sourcing, negotiations, importing and exporting and vendor management.
- Ability to multi-task and prioritize in a fast-paced environment.
- Proven experience in parts procurement, inventory management or a related role within the transportation / automotive industry.
- Experience in purchasing from other countries would be an asset
- Strong negotiation and communication skills.
- Excellent organizational and time management skills.
- Attention to detail and a commitment to quality.
- Ability to work independently and as part of a team.
- Proficiency in inventory management software and Microsoft Office Suite, especially Excel.
- Strong problem-solving skills.
