Purchasing Administrative Assistant

We are currently looking for a **Purchasing Administrative Assistant** to work in a year-round capacity from our Acheson location in Alberta. This role supports our purchasing team, parts technicians, and warehouse operations providing assistance and coverage in the warehouse as required.
**Responsibilities include**:
- Performing data entry duties including processing purchase orders, parts inventory and log adjustments;
- Matching and scanning purchase documentation for accounts payable reference;
- Assisting with sourcing and fulfillment parts and consumables requisitions for mechanical shop and managers in the field;
- Fulfilling work orders, making adjustments, and charge outs;
- Creating and distributing monthly consumable invoices for various divisional crews;
- Ordering stationery supplies through main office for purchasing/warehouse as required;
- Assisting with shipping and receiving goods and materials, confirming quantities and condition, noting discrepancies and damages, stocking shelves etc.;
- Assisting with the parts inventory process;
- Communicating with suppliers and vendors on missing paperwork, backorders, missing credits, price and receiving discrepancies etc.;
- Assisting with core returns and credit process in the warehouse;
- Involvement in creating and implementing process improvements within the department.
**Qualifications**:
- Experience with working in the construction industry is highly desirable;
- Experience in road construction would be considered an asset;
- A minimum of two years experience working in an administrative capacity;
- Intermediate to advanced abilities in Microsoft Outlook, Excel, Word and PowerPoint is required;
- Must be self-motivated and able to work with mínimal supervision;
- Strong writing, listening, and verbal communication skills are required;
- Strong organizational skills with attention to detail required;
- Ability to work in a fast-paced environment with ability to multi-task while prioritizing urgent requests;
- Must be a supportive team player who can work both independently as well as part of a team.
