Our real estate team is seeking an energetic and extremely organized Executive Assistant to run our team Are you the right fit? If the following sounds like you, then we need to talk
- You are a natural host. You are the person everyone turns to when a party needs to planned.
- You are the care taker of people. Making sure the people around you are taken care, brings you joy and you are probably the first person your friends turn to when they need help.
- You love design and style. You are likely to fluff pillows in a furniture store and style your friends coffee table when you visit their home.
- You are energized by hard work and excited by challenges. Checking off tasks gives you a bit of a thrill.
- You are able to work in a fast paced and high stakes environment. Deadlines aren’t overwhelming to you as you work great under pressure.
- You are a natural organizer. Your friends are jealous of your ability to effortlessly transform something chaotic into an organized dream. Binders, colour coded tabs and filing systems are your jam.
- You enjoy creating, implementing, and managing multiple systems. Making things more efficient is an innate need of yours.
- You are all things social. You love interacting with people, have fantastic communication skills and are a wiz with social media platforms.
- Above all, you are a kind, hard working and fun loving person who always wants to be learning
**What your job will entail**:
- Provide amazing customer service to our clients, before, during and after their real estate transaction
- Act as a liaison between clients, Realtors®, Lawyers, Mortgage Brokers, and all other service providers during the real estate process
- Work with the real estate agents on our team to implement scalable systems to ensure efficiency
- Manage the teams database
- Assist real estate agents with administrative tasks including document preparation, filing, and data entry of offers, amendments, buyer paperwork & listing paperwork
- General real estate administrative duties, including booking showings, posting listings on MLS, filing paperwork and managing compliancy
- Run general errands and tasks like pick ups and drop offs, key exchanges, pick up on marketing material
- Create marketing material (print, social media, direct mail)
- Manage social media platforms, including content creation, scheduling posts, and engaging with followers to enhance our online presence
- You will be responsible for planning and coordinating various real estate events, including open houses and client appreciation events
- Assist our agents in prepping listings, including staging
**Qualifications**:
- Proficient with tech including Google Suites, Canva, Video Editing Apps, Mac Programs
- Proficient using Social Media platforms
- Amazing communication skills, both written and verbal
- Exceptional organizational skills with acute attention to detail
- Ability to thrive in a fast-paced environment and juggle multiple responsibilities
- Resourceful and solution-oriented, capable of navigating challenges effectively
- Proactive and self-motivated, with a strong sense of accountability
- Ability to work independently as well as with team members
- A valid driver’s licence, access to a reliable vehicle and a willingness to travel for work related tasks are necessary
- Real estate experience is not required
