**Job Description**:
Techo-Bloc is currently seeking an Executive Administrative Assistant for our Sales Team located at our Saint-Hubert Head Office. This position will be responsible for providing a high level of support to the Sales Director, while maintaining company-wide best practices in responding to internal and external inquiries, developing and maintaining excellent relations with all employees, clients, and other stakeholders. We are looking for a highly organized planner with strong communication skills and systems driven. We’re looking for someone who is upbeat, detail-oriented and ready to take on new challenges. **Responsibilities**:

- Act as a first point of contact for the Sales Representatives and provide the support they required such as creation of sales orders, filling our request forms, etc.;
- Plan and execute seasonal departmental projects as outlined by the senior executives’;
- Assist in monitoring and processing of approvals to ensure compliance with internal policies;
- Create, export and review reports to ensure data accuracy and compliance
- Collate, review and process expense reports in Concur;
- Assist in the maintenance of the CRM data base on a weekly basis;
- Play an active role in regular follow-ups with the sales team when requested;
- Draft team communications and plan and organise events, both internally and offsite;
- Prepare and review reports, presentations and correspondence;
- Participate in process improvements and recommend more efficient and streamline processes if necessary;
- Develop and update processes and communicate those to the team;
- Assist the management the Sales Director calendar and perform general administrative and office support such as organise meetings, appointments and take meeting minutes;
- Periodically manage, coordinate, and arrange senior executives’ travel and travel-related activities, including; hotel booking, transportation and meal coordination;
- Handles matters expeditiously, proactively, and follows-through on projects to successful completion and meeting dealines;
- Other miscellaneous tasks to support the executive.

**Qualifications**:

- Post-secondary diploma in a related or transferable discipline;
- 5+ years of professional experience supporting a corporate executive;
- Advanced proficiency in Microsoft office: Advanced level in Excel is a must have;
- Excellent bilingualism (French and English), both oral and written - Due to frequent communication with clients in Quebec, Ontario and the United States;
- Ease and familiarity with SharePoint and an ERP system (knowledge of Microsoft Dynamics AX is an asset);
- Positive attitude and customer focus;
- Ability to multitask, coordinate prioritize and follow up in a timely manner;
- Consistently deliver high-caliber, accurate work with a high degree of attention to detail;
- Strong organizational skills;
- Exercise mature judgement, professionalism and discretion in handling confidential and sensitive information and situations;
- Self-starter, resourceful with the ability to work with mínimal supervision.
