**Job Summary**

Reception & Patient Support
- Open and close the office daily (alarms, equipment, supplies, cleanliness).
- Greet and check in patients courteously, assist with room preparation as needed.
- Answer phone calls promptly and courteously; triage calls appropriately, escalate urgent issues to chiropodists.
- Book and confirm appointments, manage cancellations, maintain accurate records.
- Handle patient call-backs as directed by chiropodists; document concerns accurately.
- Maintain confidentiality at all times in compliance with PHIPA and clinic policy.

Administrative & Medical Office Duties
- Manage in-basket tasks: referrals, orthotic/footwear dispensing, prescription renewals.
- Complete filing, scanning, dictation, and linking of medical documents in a timely manner.
- Process patient billing (Visa, MC, Debit).
- Submit and track insurance claim forms (e.g., VAC) as required.
- Instrument sterilization

Office & Supplies Management
- Monitor and restock supplies (clinical and office) ensuring one month’s stock is always available.
- Handle postal and courier services (UPS, FedEx, etc.); receive and verify shipments.
- Ensure exam rooms, waiting areas, and washrooms are clean, stocked, and patient-ready.

**Qualifications**:

- Certificate/diploma in Medical Office Assistant, Office Administration, or equivalent

experience.
- Prior experience in a medical or clinical reception environment preferred.
- Strong organizational and multitasking skills with attention to detail.
- Proficient in electronic medical records (EMR), billing software, and general computer use.
- Excellent communication skills (verbal and written); courteous and professional telephone manner.
- Ability to maintain strict confidentiality and comply with healthcare privacy standards.
- Bilingualism (English/French) an asset but not necessary

Pay: $20.00-$24.00 per hour

Expected hours: 30 - 40 per week
