As an Administrative Assistant at National Bank of Canada you will provide valuable support to our team of financial professionals. We are seeking a highly organized, detail-oriented Office Administrator to support our daily operations. This position requires coordination across multiple departments.

**Your job**:

- Arrange travel and prepare employee expense reports in alignment with firm policies; ensure accurate documentation and timely reimbursement.
- Assist in processing checks, outgoing wires and processing vendor invoices for payment on multiple platforms.
- Help organize internal and external office events.
- Prepare meeting agendas, attend meetings, and accurately record meeting minutes.
- Assist in the revision and updating of internal documents, ensuring all documents are up to date and accurate.
- Manage record retention, ensuring secure storage, timely archiving and proper disposal of sensitive financial and client data in accordance with regulatory requirements
- Serve as a backup for reception duties as needed, including but not limited to: greeting clients, answering phones, maintaining kitchen and office inventory, and handling incoming and outgoing mail.

**Your team**:
You will be part of a team of the US Operations team reporting to Operations Manager. This role interacts with several teams, including Treasury, Accounting, Billing, Sales & Trading, Client Service, Operations, Compliance, and Technology.

You can access personalized training content on such topics as banking solutions and the advisory approach to support your ongoing learning. You’ll also have access to colleagues with a wide range of expertise, experience and backgrounds to enrich all aspects of your development.

**Prerequisites**:

- Associate or Bachelor’s degree.
- 2+ years of administrative experience in a corporate setting.
- Proficient in Microsoft Office Suite - PowerPoint in particular.
- Experience using Concur and Ariba/My Purchases preferred.
- Strong organizational and time-management skills, be able to prioritize tasks effectively.
- Excellent written and verbal communication skills.
- Ability to work independently as well as in a team environment.
- Ability to maintain confidentiality and handle sensitive information
