**Office Administrator**
**POSITION TITLE**: Office Administrator
**REPORTS TO**: Executive Director
**POSITION STATUS**: Full-Time Permanent
**START DATE**: Immediately
**SALARY**: $35,000-$45,000
**We Care is the Foodservice and Hospitality Industry’s Charity of Choice, committed to helping kids with disABILITIES realize their full potential. Through a united effort from our supporters in a variety of fundraising events and initiatives, we seek to make a difference by raising funds to send kids to accessible Easter Seals summer camps across Canada.**
**Purpose of the Position**
To maintain a well-functioning office space, support the daily operations of the charity, and assist the We Care staff in the administration and implementation of various special events and initiatives as needed.
**Duties and Responsibilities**
- Provide customer service to both internal and external customers including volunteers, suppliers, sponsors, and staff
- Co-ordinate office activities and operations to ensure the organization’s efficiency
- Create and update records, databases, and contacts
- Enter donation and purchase transactions into the CRM and accounting systems
- Manage the creation and sending of all tax receipts
- Track and order office supplies as needed and coordinate the maintenance and repair of office equipment and services - computers, IT, internet, photocopiers, telephone system, etc.
- Maintain and organize office storage rooms and files
- Prepare office for internal meetings including set up and catering needs
- Manage shipping and courier services as well as arranging and picking up deliveries where needed
- Ensure the cleanliness of the office through daily, weekly, and monthly cleaning duties (kitchen, bathrooms, general office, trash disposal)
- Other duties as assigned
- Assist with the planning, execution, and wrapping up of We Care events as assigned
- Attend event committee and member meetings, taking meeting minutes as required; Follow up on action items with respective committee members and Executive Director
- Attend all We Care events and support third-party fundraising events, as required; this may include some evenings, weekends, and overnights
- Represent the organization at tradeshows and at events, where necessary
**Qualifications**
- Relevant post-secondary education in office or retail management, event planning, or equivalent experience
- Excellent written and verbal communication skills
- Exceptional organizational, time management, and multi-tasking skills with a strong attention to detail
- Proven ability to work independently and co-operatively on a team
- The ability to adapt to last-minute changes and work well under pressure, including independent decision making
- Ability to help coordinate groups of volunteers
- Excellent people skills and ability to relate well with staff, volunteers, and donors
- Proficiency in Microsoft Office (Outlook, Excel, Word, etc.)
- Knowledge in the following programs is considered an asset:
- CRMs and donor management systems
- Online event registration and fundraising platforms
- Accounting and payment systems (e.g., QuickBooks, Square)
- Word Press and/or HTML
- Adobe Creative Suites (InDesign, Photoshop, etc.)
- Social Media Platforms (Facebook, Twitter, Instagram, LinkedIn, etc.)
- Oral and written French language an asset
**Requirements**:
- Valid Ontario driver’s license and the use of an appropriately insured reliable vehicle (vehicle will often be used for picking up and dropping off event materials)
- Ability to drive a large truck or rental van an asset
- Periodic evening and weekend work, as required
- Physical effort and stamina required for lifting, loading/unloading vehicles, and event set up
- Some overnight, out-of-town/province travel required
