**About the Role**
We’re seeking a **strategic and proactive Executive Assistant** to serve as the right-hand to our CEO. This is more than a support role; it’s an opportunity to work at the heart of a fast-moving organization and help shape how it operates.
You’ll coordinate priorities, manage communication, and bring structure to a dynamic, entrepreneurial environment. If you thrive on initiative, stay cool under pressure, and naturally anticipate what’s needed next, you’ll be an incredible fit.
This is a full-time, in-office position based in Burnaby, BC, working closely with the CEO and leadership team.

**Key Responsibilities**:
**Executive Support**
- Manage and optimize the CEO’s calendar, schedule, and communications.
- Anticipate needs; preparing meeting materials, summaries, and follow-up actions.
- Coordinate office events, leadership meetings, and special projects.
- Handle confidential information with discretion and professionalism.
**Operational Coordination**
- Build and maintain systems that improve organization and efficiency.
- Track project deliverables, decisions, and priorities across departments.
- Manage travel logistics, itineraries, and expense reporting.
- Collaborate with sales, marketing, customer support, and operations teams to align on company priorities.
**Strategic Partnership**
- Understand the CEO’s goals and help focus time and energy on what matters most.
- Identify opportunities to streamline or delegate work.
- Act as a communication bridge between the CEO, team members, and partners.
- Prepare concise reports, notes, and action summaries after key meetings.
- Maintain strategic objectives, updates, deliverable directives, and notes for the Senior Leadership team.
**Qualifications**
- 4-6 years supporting a senior executive or business owner in a fast-paced environment.
- Excellent written and verbal communication skills; confident, tactful, and adaptable.
- Highly organized with exceptional follow-through and prioritization skills.
- Advanced proficiency in Microsoft 365 (Outlook, Excel, PowerPoint, Word), Zoom, and Google Workspace.
- Ability to create structure in an evolving, growth-stage company.
**Nice to Have**
- Experience supporting a visionary, high-energy leader.
- Background in professional services, franchising, or small business operations.
- Familiarity with Apple OS and modern productivity apps.

- Salary: $65,000 - $78,000 CAD (based on experience)
