Job summary
In this role, you will provide a wide variety of administrative support. You will support a variety of HQCA team members with project management, including calendar management, virtual and in-person meeting logistics and note taking, documentation preparation and formatting, various correspondence and communications, expense claims, etc. Helping others is your mantra; you will support other administrators in the office, as needed, whether it is stocking office supplies or organizing courier deliveries.
You will play a key role in:
**Document production and management**
- Format documents, reports, and presentations using the Microsoft Office suite of tools and following HQCA publication standards.
- Maintain electronic and hardcopy documentation including collection, filing, storage, recording, and maintenance.
- Track action items and issue logs.
- Create and submit expense claims as per HQCA policy.
**Meeting management**
- Provide calendar management by coordinating with internal and external stakeholders to schedule meetings virtually and in-person.
- Provide all meeting management functions including the arrangement of in-person and virtual meetings, creating agendas, taking minutes, and coordinating required documents for meeting attendees.
- Coordinate in-person and virtual meeting logistics, including technical support with Zoom, Teams, and meeting room equipment.

- You will work with confidential information, which requires you to always maintain confidentiality and professionalism.
- Collaboration and teamwork are essential to the success of the project.
- High School Diploma is the minimum; post-secondary certificate or diploma in office administration is preferred.
- **5+ years’** office administration experience in a broad range of administrative functions.
- **Advanced** **expertise** in Word, Excel, PowerPoint, Outlook, Adobe Acrobat, SharePoint, Teams, and Zoom.
This position is located in Calgary, Alberta and includes a hybrid work environment: three days in the office (mandatory).
