Administration Posted date: December 2, 2025 Role This Administrative Assistant position is situated in our Calgary head office supporting the executive team, administration team, Document Control (DC) team, and our clients. This individual will perform various administrative and financial functions, ensure that daily organizational operations function efficiently and provide backup DC support as required. It is imperative that they are professional, well organized, handle multiple deadlines and tasks and dependable, with a high degree of discretion when dealing with confidential business matters. This is an in-office role based in Calgary, AB. Candidates must reside in the area and commute to our downtown office. Salary & Employment Details Employment Type: Full-time, 40 hours per week. Compensation: Junior Administrative Assistant salary band of $47,840 – $54,080 CAD, reflective of the candidate’s experience and technical knowledge. Areas of Accountability Administrative and Office Operations Support Provide reception coverage, greeting guests and managing incoming deliveries. Maintain kitchens, pantries, copy rooms, and common spaces; ensure areas are clean, stocked, maintenance is up to date and organized. Printers, coffee machines, microwaves, dishwashers etc. Oversee office supply inventory and place orders as required. Maintain Personal Protective Equipment log and stock. Manage office phone systems, including answering calls and coordinating maintenance. Monitor and manage building service requests through the building portal; address office-related grievances. Support internal communications, including email follow-ups with staff regarding office activities and submission requirements. Support planning and execution of internal and corporate events. Perform Document Control back-up duties. Provide organizational and administrative support to leadership and cross-functional team: Support BD team with project set up and forecasting activities; Assist with system-related activities for company projects, including C&R initiatives; Manage calendars/meeting schedules for COO and VP Engineering; Prepare/assist with development and implementation of standards, policies & procedures. Human Resources & Employee Support Support new employee orientations, onboarding, and workstation preparation. Assist with job postings, including uploading ads, sorting applicant resumes, and scheduling interviews. Accounting Support Support accounts payable processes, including payment entry/tracking in BQE Core. Assist with employee benefits program administration, including maintenance of monthly allocation spreadsheets. Conduct project resource rate reviews and support updates as required in BQE Core. Process corporate Visa statements and organize supporting documentation. Perform bank reconciliations in multiple currencies. Qualification Requirements The ideal candidate will have: Post-secondary education, with 2+ years of professional administrative experience. Ideally 1+ year of Document Control experience, though we will provide training. Proficiency in Microsoft Office Suite and Google Workspace (Gmail, Docs, Sheets etc.) Strong communication skills, both verbal and written. Financial literacy and previous human resource experience would be an asset. Demonstrated organizational and problem-solving skills with the ability to multitask, prioritize responsibilities and work independently. Experience working on multiple projects with the capability to accomplish results within established timelines. Able to foster professional relationships with people from a variety of technical backgrounds. High level of accuracy, attention to detail, and a strong willingness to learn. Ability to work onsite at our Calgary head office (downtown location).
