They are responsible for providing a seamless foundation of administration that allows teams to function, as well as work closely with Executives and their Assistants to proactively support and anticipate their needs and understand their priorities.The Executive Assistant will oversee assigned projects or activities, coordinate daily schedules/calendars, prepare for meetings, and manage travel. The ideal candidate will function under tight deadlines in a fast-paced, highly demanding work environment while exhibiting excellent customer service and professionalism in all interactions. They will pre-empt issues or problems before they arise, collaborating closely with the Executive(s) and as a point person for when their Executive(s) is unavailable. Administrative Assistants are also responsible for building relationships with counterparts at client organization and across the Teneo network.Responsibilities:Provide support to executives based in the United States within Teneo’s Management Consulting businessProactively manage Executives’ calendars, prioritizing correspondence, managing communications between them and executives, employees, and external contactsCoordinate internal and external meetings, including project meetings, and ensure necessary logistics are arranged, across time zones if necessaryProvide direct support to senior executive(s), assisting with client interactions, team coordination, and administrative tasks to ensure timely project deliveryAnticipate upcoming events and meetings, preparing executives with necessary materials and maintaining a long-term perspective on organization goalsServe as a point of contact for senior executives and the support team, handling communications and interactions with utmost professionalism and confidentialityAssist with travel arrangements, considering executives’ priorities and managing complex itineraries efficientlyUndertake additional administrative responsibilities such as filing, document management, maintaining records, and reconciling travel & expense reports, invoices, etc.Manage operational aspects of executives’ roles, including project setup and proposal preparationMaintain confidentiality and business-sensitive information with discretionEmbrace agile working practices and support team members during absences or busy periodsLead by example, fostering teamwork, collaboration, and a positive office environmentFoster positive relationships with counterparts at client offices and build knowledge of key clientsManage miscellaneous personal requestsSupport executives beyond traditional working hours and during travel or international assignmentsQualifications:2-3+ years’ experience in a corporate environment providing support for senior-level executivesExcellent written and oral English language skills are required for this position as the role involves regular communication with executives and clientsProficiency in Microsoft Office, including Word, Excel, and PowerPointAbility to anticipate needs and proactively address potential issues with sound judgment and discretionMeticulous commitment to delivering high-quality, client ready workAbility to adapt to changing priorities and thrive in a fast-paced environmentCommitment to learning and professional developmentExperience using Robin, Concur, MS Teams and NetSuite, a plusWhat can we offer you?New joiners are supported by an induction programme.
