Job Summary

The Human Resources Coordinator acts as the frontline contact to employees inquiring about Human Resources services and assists with the day-to-day HR operations across all the Tony Graham Automotive Group dealerships. This position will work in conjunction with the Human Resources Manager, specifically with recruitment, selection and onboarding processes as well as the processing of benefits. In addition, the HR Coordinator will assist with the administration of the employee relations, HRIS (Dayforce) operation, as well as the Health and Safety Program management. This position will work for all dealerships/divisions of the Tony Graham Automotive Group. The ability to maintain confidentiality and complete administrative tasks with quality, efficiency, and attention to detail are essential to this position.

What you offer

Some of the tasks of this position include:

Recruitment & Selection

·   Partner with Department Managers on job posting requirements

·   Post jobs internally and on job boards

·   Collect and sort resumes

·   Prescreen applicants; email questionnaires, conduct phone screens

·   Schedule interviews

·   Write interview questions, prepare interview folders

·   Conduct interviews and consult with managers

·   Extend a Conditional Offer of Employment to successful candidates

·   Conduct reference checks, validate documents (e.g., education, driver's abstract, work eligibility)

·   Validate that conditions are met by completing a thorough reference check, obtaining Driver's Abstract, verification of eligibility to work in Canada, and verify education if required for the position

Benefits Administration

  • Administer Group Benefit Plan including Dental, Health, Long-Term Disability, EAP, RRSP/DPSP, enrolment, changes, terminations, etc.
  • Assist with administration of employee leaves (LTD, Medical, Pregnancy/Parental, etc)
  • Respond to benefit inquiries
  • Make changes for enrolments/terminations

Leave Management

  • Administer LTD, Medical, Pregnancy/Parental leaves
  • Assist with Disability and WSIB claims and claims management program

Occupational Health & Safety

  • Administer all aspects related to Occupational Health & Safety, such as Joint Health and Safety meetings, agendas, First Aid requirements and tracking, mandatory postings, minutes of meeting,
  • Organize JHSC meetings, agenda, minutes
  • Track First Aid, safety postings, inspections
  • Follow OHSA policies
  • Follow up workplace inspection compliance
  • Comply with equipment and PPE use rules
  • Report hazards/deficiencies
  • Prevent unsafe conduct (e.g., pranks, roughhousing)
  • Track OHS certifications such as First Aid and JHSC Certifications

Employee Relations and HRIS Management

  • Maintain records (paper and electronic) related to programs and claims in accordance with applicable legislation
  • Process documentation, draft letters and prepare reports as required/requested
  • Ensure all relevant documentation is maintained and uploaded to HRIS
  • Maintaining HR database - data entry, data manipulation, data dissemination, building reports, running reports

 

Policy & Compliance

  • Develop, update and ensure compliance with all policies and procedures of the Tony Graham Automotive Group
  • Ensure compliance with all applicable legislation (i.e., Employment Standards Act, Occupational Health and Safety Act, Human Rights Code, Privacy Legislation, AODA, etc.)
  • Any other job responsibilities, as assigned.

 

The successful candidate will have the following:

Education and Qualification

·     Post-secondary education in Business Administration with an HR Emphasis or equivalent in a related field. A combination of education and experience will also be considered.

·     HRPA designation is a great asset.

Language

·     Fluent in English, oral and written

Experience

·     2-3 years of relevant HR experience

·     Knowledge of the ESA, Occupational Health and Safety Act, and relevant labour legislation

·     Demonstrated experience with Microsoft Office Suite and Adobe Acrobat, DocuSign

·     Demonstrated knowledge with HRIS systems (Ceridian Dayforce would be an asset)

·     Extremely organized and excellent time management skills

·     Excellent attention to detail
