Key Responsibilities
  • Type and proofread correspondence, forms, and other documents to maintain accuracy and professionalism
  • Receive and forward telephone or electronic enquiries in a timely manner
  • Work on reports from manual or electronic files, inventories, and databases to provide valuable insights
  • Sort, process, and verify applications, receipts, and other documents with attention to detail
  • Process incoming and outgoing mail manually or electronically with precision
  • Send and receive messages efficiently to facilitate communication
  • Perform basic bookkeeping tasks to maintain accurate financial records
  • Prepare and format page presentations to enhance visual appeal
  • Compile data, statistics, and other information to inform business decisions
  • Prepare invoices and bank deposits to ensure timely payment
  • Provide general information to clients and the public with confidence and courtesy
  • Photocopy and collate documents for distribution, mailing, and filing with care
  • Order office supplies and maintain inventory to ensure seamless operations
  • Conduct research to stay up-to-date with industry trends and best practices
  • Perform data entry accurately and efficiently
  • Provide customer service with a smile and a willingness to help
  • File material in storage areas with precision and organization
  • Label files according to retention and disposal schedules to maintain compliance
  • Label, file, and retrieve documents with ease and speed
  • Locate and remove files requested promptly and accurately
  • Organize and schedule office work to maximize productivity
  • Prepare and monitor contracts and budgets to ensure fiscal responsibility
  • Store, update, and retrieve financial data with confidentiality and discretion
Requirements

To be successful as an Administrative Support Specialist, you should have:

  • 1 year to less than 2 years of experience in an administrative role
  • A Bachelor's degree in a related field (e.g., Business Administration, Office Management)
