Job Summary

We are seeking a highly skilled and experienced Administrative Assistant to provide confidential, executive-level administrative support to the Director, Continuing & Community Education, Director Simulation & Digital Education, and other members of the leadership team at the Centre for Addiction and Mental Health.

Key Responsibilities
  • Provide administrative support to the Directors, including scheduling appointments, coordinating meetings, and preparing documentation.
  • Assist with grant/funding proposals, budget monitoring, and procurement processes.
  • Compose and edit documents, including memos, letters, reports, and contracts.
  • Coordinate communications with stakeholders, including internal and external partners.
  • Monitor budgets, track expenses, and submit credit card reconciliation statements.
  • Process invoices, create purchase requisitions, and order equipment and supplies.
  • Support core administrative tasks, including file and documentation management, database management, and corporate services coordination.
Requirements
  • Bachelor's Degree or Community College diploma/certificate in a related field, plus three to five years of secretarial/administrative experience.
  • Superior interpersonal, planning, time management, organizational, problem-solving, and customer service skills.
  • Strong writing and editing skills, including the ability to proofread documents and write meeting summaries.
  • Advanced PC skills, particularly with Microsoft Office applications (Outlook, Word, Excel, PowerPoint).
  • Experience working with clients, staff, and organizations serving diverse groups is an asset.
