Job Title: Administrative Communications Coordinator

About the Role:

The University of British Columbia Media Relations team promotes the university's research, expertise, and priorities to audiences across Canada and beyond. Through media relations, issues management, and strategic communications, the team connects journalists with UBC experts, shares impactful stories, and manages the university's public reputation.

Responsibilities:

  • Provide administrative, logistical, and limited editorial support to the team through media monitoring and reporting, coordinating team projects and events, and maintaining team resources.
  • Act as a first point-of-contact for media inquiries and prepare digital content like daily news media summaries and quarterly metrics reports.
  • Track UBC media mentions and write and publish daily media summaries.
  • Respond to general media inquiries by phone and email, taking clear, accurate, and complete messages, screening and redirecting inquiries as appropriate, and referring media to Media Relations Specialists.
  • Compile, format, and publish various external/internal communication products using content management tools and email software.
  • Update weekly team editorial calendars using content management software.
  • Support issues management by updating weekly calendar and identifying and flagging media issues to the team.
  • Maintain and update the UBC Experts Guide database, team digital files, archives, and mailing lists.
  • Maintain and update documents that track team metrics and develop quarterly metrics reports.
  • Maintain the UBC Media Relations image database and fulfill image requests using UBC News' various sources.
  • Support the design and formatting of presentations, media materials, and awards submissions for team members.
  • Maintain office supplies, arranging for purchase and delivery of required materials and services.
  • Assist in organizing media events and other team initiatives such as the Triple C professional development series.
  • Assemble media kits, media training materials, and other collateral for events.

Requirements:

  • High School graduation, plus two years of post-secondary education, and three years of related experience or the equivalent combination of education and experience.
  • Willingness to respect diverse perspectives, including perspectives in conflict with one's own.
  • Demonstrates a commitment to enhancing one's own awareness, knowledge, and skills related to equity, diversity, and inclusion.

Preferred Qualifications:

  • Ability to use word processing, spreadsheets, and internet applications at an intermediate level (Word, Excel, Outlook, Share Point, Slack, Asana, Word Press, Teams preferred).
  • Effective interpersonal skills with the ability to deal with a diversity of people in a calm, courteous, and effective manner.
  • Ability to compose correspondence, reports, presentations, and other written materials using clear concise business English.
  • Ability to prioritize tasks, maintain accuracy, and attention to detail.
  • Ability to exercise judgment, tact, confidentiality, and discretion when dealing with sensitive matters.
  • Ability to work independently and as a member of a team.
  • Knowledge of UBC campus, faculties, and services preferred.
  • Interest in current affairs and news an asset.

Compensation:

The estimated salary range for this role is $4,314 - $4,532 CAD per month.
