We are seeking an experienced Medical Secretary to join our team at the Mount Sinai Hospital Site. This position is located at the Mount Sinai Fertility Clinic, where you will be responsible for providing administrative support to our clinical team.

Key Responsibilities

  • Follow-up on messages and correspondence related to the secretarial role
  • Pull charts for daily clinics and ensure all results are filed on the chart
  • Book patient appointments for clinics or procedures as required
  • Retrieve laboratory results from outside labs and update patient records
  • Update personal information in our electronic health record system and other relevant databases
  • Dismantle charts post-procedure
  • Record minutes for secretarial staff meetings
  • Purge and archive charts at the end of the recall period
  • Sort daily mail, including laboratory results
  • Assist other secretarial staff with tasks such as validating health cards and registering ambulatory visits
  • Set up charts for new patient referrals
  • Filing laboratory reports, operative reports, and other medical documents
  • Pulling charts for abnormal blood results to be reviewed by physicians and nursing staff
  • Completing blood checklists for patients entering our IVF, Sperm Wash, and Donor Programs
  • Answering patient lines and directing calls, taking messages, and booking appointments as necessary
  • Preparing blood requisitions for clinic appointments and mailing them to patients
  • Retrieving release of information documents from patient charts to be sent to other physician's offices

Requirements

  • Diploma or degree from an accredited educational institution, with preference given to those who have graduated from a Medical Secretary program
  • One year of recent office support experience in a high-volume ambulatory setting
  • Excellent medical dictation typing skills
  • Proficient in Microsoft Word, Excel, Outlook, and Appointment Scheduler
  • Excellent problem-solving and time management skills
  • Ability to work effectively independently and as part of a multidisciplinary team
  • Ability to work accurately and effectively in a fast-paced/high-stress environment
  • Ability to communicate and read using English in order to effectively perform essential requirements of this position
  • Demonstrated customer service skills and ability to sensitively communicate with patients/families in vulnerable situations
  • Demonstrated initiative and creativity and flexibility
  • Demonstrated satisfactory work performance and attendance history
