Key Responsibilities

  • Provide administrative support to the Family Medicine Clinic, including registering patients, scheduling appointments, and monitoring appointment volumes.
  • Coordinate and triage telephone calls and inquiries, ensuring timely and effective communication with patients and staff.
  • Transcribe and process physicians' written orders, notify relevant staff and departments, and maintain accurate documentation.
  • Process requisitions, maintain patient records, and follow up on outstanding information, such as test results and follow-up appointments.
  • Maintain a clean and organized work environment, adhering to hospital policies and procedures.
  • Communicate effectively with staff, patients, families, and external parties, ensuring seamless coordination of care.
  • Assume responsibility for identifying and advancing issues and concerns with the Clinical Team Manager or Registered Nurse in a timely manner.
  • Compile and disseminate materials related to program activity, prepare statistics, reports, and discharge instructions, and manage unit supplies and services.

Requirements

  • Ontario Secondary School Diploma or equivalent.
  • Medical Secretary/Medical Office Assistant certificate or equivalent.
  • Working knowledge of medical terminology.
  • Minimum of one year of comparable office experience, preferably in a medical or surgical setting.
  • Experience working in a family medicine clinic setting.
  • Demonstrated experience in Microsoft Suite, including Word, Excel, PowerPoint, MS Teams, and Outlook.
