Job Summary

We are seeking a highly skilled and organized Contracts Administration Specialist to join our team at Qualitrol Company. As a key member of our procurement team, you will be responsible for managing customer purchase orders, providing exceptional customer support, and ensuring timely delivery of products.

Key Responsibilities

  • Manage all incoming purchase orders in Oracle, adhering to ISO procedures and ensuring customer expectations related to lead times and on-time delivery are fulfilled.
  • Provide customer support both prior to and after delivery of the product, communicating with customers to obtain missing or erroneous information and coordinating with the shipping and finance departments to prepare documents that meet specific customer requirements.
  • Monitor the status of daily purchase orders and follow up as necessary, serving as the main point of contact for customers to ensure their requests are addressed.
  • Collaborate with multiple departments to ensure the accurate product is delivered promptly, maintaining and updating Certificates of Insurance and Workers Comp.

Requirements

  • Exceptional organization and time management skills, with the ability to prioritize work and negotiate, mediate, and communicate effectively with management and front-line staff internally and externally.
  • Excellent written and verbal communication skills, with a keen attention to detail and the ability to spot errors.
  • A customer-centric attitude and patience/civility are essential for success in this role.

Working Conditions

This is a hybrid role, requiring 3 days in the office and offering flexible working hours and remote work opportunities.
