Accounts Receivable Administrative Assistant

We are seeking a highly organized and detail-oriented Accounts Receivable Administrative Assistant to support our team with essential administrative tasks. The ideal candidate will possess strong communication skills, attention to detail, and the ability to work effectively in a fast-paced environment.
About the RoleThis is a full-time position from Monday-Friday, requiring a strong understanding of administrative and accounting principles. The successful candidate will assist in preparing and sending invoices, updating billing systems, and responding to client inquiries related to invoices and payment terms.
Responsibilities- Administrative Support:
- Provide administrative support to management, including data entry, filing, and record-keeping.
- Tend to project-based work as requested by management.
- Maintain accurate and organized records of invoices, receipts, and correspondence.
- Contact customers as needed to inform them of delays and revised timelines.
- Ensure accuracy of date and time of rental equipment.
- Return customer calls and respond to complaints with professionalism.
- Accounts Receivable:
- Assist in preparing and sending invoices, ensuring all details are correct.
- Update billing systems with customer information and account status.
- Help respond to basic client inquiries related to invoices and payment terms.
- Conduct account receivable and collection calls.
- Code supplier invoices.
- Support in reconciling accounts by cross-referencing payments and records.
- 1+ years of experience in an administrative or accounts receivable support role.
- High school diploma or equivalent required; some college coursework in accounting is a plus.
- Strong knowledge of Microsoft Office and ability to learn new software systems.
- Strong attention to detail and organizational abilities.
- Good communication skills for assisting clients and team members.
- Comfortable making collection calls and willingness to learn.
