Fednav Limited, a leading international dry bulk shipping group, is seeking an experienced Administrative Coordinator, Talent Management to join our team in Montreal. This role will support the Talent Management team with a wide range of activities, including recruitment, onboarding, and talent development.

Talent Acquisition and Onboarding

  • Assist in the preparation and posting of job advertisements on various platforms. \t
  • Coordinate the creation of job profiles and requisitions in our HR system. \t
  • Manage the organization of on-campus recruitment events and coordinate with hiring managers to schedule interviews and distribute assessment materials. \t
  • Ensure a smooth onboarding process for new employees, including setting up their workstation, laptop, and phone, and providing necessary training and documentation. \t
  • Prepare and distribute welcome messages, integration meetings, and other onboarding materials. \t
  • Send new employees mandatory training links and follow up on their completion. \t
  • Organize and manage new employee files and virtual HR records, ensuring confidentiality and data protection. \t
  • Coordinate the approval and payment of talent management invoices. \t
  • Assist with employee movements and terminations, including off-boarding tasks and exit interview questionnaires. \t
  • Prepare templates, presentations, and reports, and assist with occasional mass mailings. \t
  • Prepare the annual workforce skills development and recognition report. \t
  • Participate in Top Employer initiatives and other program branding initiatives. \t
  • Coordinate employee events, such as birthday celebrations, recognition for years of service, and annual retirees' luncheon. \t
  • Ensure the content of the Talent Management page is regularly updated and maintained on our intranet. \t
  • Participate in the regular updates and changes to the Employee Handbook. \t
  • Assist with various projects, process mapping, and improvement initiatives as required. \t
  • Support the team with various projects and tasks.
Requirements
  • \t
  • Post-graduate degree in Administration, secretarial studies, or a combination of education and relevant experience. \t
  • A minimum of 5 years' experience in a similar support role to an HR team or in an office environment. \t
  • Excellent knowledge of MS Office (PowerPoint, Word, Excel, Adobe, Outlook) with strong skills in document creation and formatting. \t
  • Excellent communication and interpersonal skills. \t
  • Experience managing ambiguity and competing priorities, understanding immediate roadblocks and urgent tasks. \t
  • Strong ability to build and maintain positive rapport and trust while maintaining confidentiality. \t
  • Excellent organizational and time-management skills. \t
  • High level of accuracy and attention to detail. \t
  • Ability to thrive in a dynamic environment with sometimes minimal guidance. \t
  • Curiosity to continuously self-develop your skills and knowledge. \t
  • Bilingualism and translation experience (French and English), interaction with international collaborators.
