Administrative Coordinator, Talent Management Specialist

Fednav Limited, a leading international dry bulk shipping group, is seeking an Administrative Coordinator, Talent Management to support its Talent Management team in Montreal. As a key member of the team, you will play a vital role in the recruitment and onboarding process, ensuring a seamless experience for new hires and candidates.
Talent Acquisition and Onboarding
Assist the Talent Acquisition team in the entire recruitment process:
- Prepare and format job postings, ensuring they meet company standards.
- Create job profiles and requisitions in Workday HCM, ensuring accuracy and attention to detail.
- Coordinate job postings on various job boards and sourcing platforms, maximizing visibility and reach.
- Collaborate with the Talent Acquisition team to organize on-campus events, fostering connections with potential candidates.
- Engage with candidates, schedule interviews, and distribute online assessments and background verification links, ensuring a smooth and efficient process.
Coordinate new employee onboarding, ensuring a positive and productive experience:
- Initiate onboarding tasks in Workday HCM and follow through to completion, ensuring timely and accurate completion.
- Follow up with IT, Corporate Services, and other departments to ensure new hires have the necessary tools and resources, including workstation setup, laptop, phone, and system access.
- Assist hiring managers in preparing onboarding plans, welcome messages, and integration meetings, ensuring a warm and inclusive welcome.
- Send new employee mandatory training links and follow up to ensure completion, ensuring new hires are equipped with the necessary knowledge and skills.
Talent Management and Administrative Support
- Organize new employee files and manage virtual HR records, ensuring confidentiality and data security.
- Coordinate the approval and payment of Talent Management invoices, ensuring timely and accurate processing.
- Assist with employee movements and terminations in Workday HCM, following up on off-boarding tasks and exit interview questionnaires.
- Prepare templates, presentations, memos, and announcements, reports, and various letters, ensuring high-quality and professional communication.
- Prepare the act to promote workforce skills development and recognition report, highlighting employee achievements and contributions.
- Participate in Top Employer initiatives and other program branding initiatives, promoting Fednav Limited's commitment to excellence.
- Coordinate various employee events, such as birthday celebrations, recognition for years of service, annual retirees' luncheon, and sending flowers/donations for life events, fostering a positive and inclusive work environment.
- Ensure the content of the Talent Management page is regularly updated and maintained on SharePoint, ensuring accuracy and relevance.
- Participate in Employee Handbook regular updates and changes, ensuring compliance and consistency.
- Assist with various projects, process mapping, and improvement, ensuring continuous improvement and excellence.
What You Bring
The ideal candidate has:
- A post-graduate degree in Administration, secretarial studies, or a combination of education and relevant experience.
- A minimum of 5 years' experience in a similar support role to an HR team or in an office environment.
- Excellent knowledge of MS Office (PowerPoint, Word, Excel, Adobe, Outlook) with strong skills in document creation and formatting.
- Excellent communication and interpersonal skills.
- Experience managing ambiguity and competing priorities, understanding immediate roadblocks and urgent tasks.
- Strong ability to build and maintain positive rapport and trust while maintaining confidentiality.
- Excellent organizational and time-management skills.
- High level of accuracy and attention to detail.
- Ability to thrive in a dynamic environment with sometimes minimal guidance.
- Curiosity to continuously self-develop your skills and knowledge.
- Bilingualism and translation experience (French and English), interaction with international collaborators.
