We are seeking a highly organized and customer-focused Property Management Assistant to join our team at AllStaff Inc.

Job Overview

The Property Management Assistant plays a crucial role in supporting the property management team by ensuring smooth operations and exceptional customer service. Key responsibilities include managing property files, handling phone inquiries, and maintaining customer relationships.

Main Responsibilities

  • Assist in managing property files and documentation to ensure accuracy and compliance.
  • Handle incoming phone calls with professionalism and courtesy, addressing inquiries and directing them to the appropriate personnel.
  • Support the property management team in administrative tasks, including scheduling appointments and coordinating meetings.
  • Maintain customer relationship management systems to track interactions and follow-ups with tenants and prospects.
  • Assist in negotiating lease agreements and renewals under the guidance of senior management.
  • Provide exceptional customer service by responding to tenant requests and resolving issues promptly.
  • Collaborate with sales teams to promote available properties and assist in the leasing process.
  • Utilize Yardi or similar property management software for data entry, reporting, and tracking purposes.
  • Perform other duties as assigned.

Requirements and Qualifications

  • A minimum of 2 years of experience in a similar role is required.
  • Strong knowledge of property management principles and practices is necessary.
  • Familiarity with Yardi or similar property management software is preferred.
  • Excellent multitasking and time management skills are essential.
  • Experience in preventative maintenance planning is desirable.
  • Tech-savvy and familiar with property management software.
  • Great interpersonal skills for coordinating with contractors and communicating with tenants effectively.
  • An analytical mindset to optimize costs and forecast property needs.
  • Proficient phone etiquette to ensure positive communication with clients and tenants.
  • Solid administrative skills, including proficiency in office software applications.
  • Ability to negotiate effectively while maintaining positive relationships with stakeholders.
  • Exceptional customer service skills with a focus on client satisfaction.
  • Experience in sales or marketing within the real estate sector is a plus.
  • Owning reliable transportation for occasional site visits is a requirement.

What We Offer

We offer a competitive salary range of $46,000-$49,000 per year, depending on experience. This role is ideal for individuals looking to grow their career in property management while contributing to a dynamic team environment focused on excellence in service delivery.
