About the Role

We are seeking a highly skilled and organized Administrative/Executive Assistant to support our President/CEO and multiple departments. As the right-hand person, you will be responsible for providing exceptional administrative support, including managing projects, coordinating tasks, tracking deadlines, and ensuring seamless project execution.

Key Responsibilities

  • Assist in managing projects, coordinating tasks, and tracking deadlines to ensure smooth project execution.
  • Handle communications, including screening phone calls and messages, addressing inquiries, and relaying important matters to stakeholders.
  • Draft, format, and edit documents, including letters, email correspondence, excel spreadsheets, proposals, and other real estate/construction/finance documents.
  • Assist with handling documents, such as finance loan applications, credit applications, insurance renewals, and setting up company phones and billing.
  • Organize and coordinate meetings, ensuring all necessary resources are secured and set up, and prepare and distribute meeting minutes.
  • Provide backup support to the office team and Reception.
  • Assist with other ad-hoc requests and tasks as required.

Requirements

  • At least 3 years of experience in roles directly supporting senior-level executives or comparable experience.
  • Upbeat, positive, personable, and able to work with diverse groups.
  • Highly proficient in MS Office (including Word, Excel, PowerPoint, SharePoint & Outlook).
  • Ability to multitask and problem-solve, ensuring deliverables meet deadlines and able to push and drive on deliverables with minimum direction.
  • Strong interpersonal and communication skills.
  • Ability to handle a high degree of confidential and sensitive data.
  • Proven ability to exercise good judgment in anticipating situations and taking appropriate action to resolve issues.
  • Education and/or experience working in business, real estate, finance, construction, property management, leasing, or marketing is a significant asset.

What We Offer

The Mann Group offers a competitive salary range of $55,000 - $70,000 CAD per year, plus a dynamic and inclusive work environment.
