About the Role:

We are seeking a highly skilled and experienced Executive Support and Coordination Specialist to join our team at Coast Mental Health. As a key member of our leadership team, you will provide high-level administrative support to our executives, ensuring the smooth operation of our organization.

Key Responsibilities:

  • Provide administrative support to our executives, including coordinating meetings, preparing materials, and managing schedules.
  • Coordinate and prepare materials for executive meetings and board presentations, ensuring timely and accurate delivery.
  • Follow up on budget items with team members to identify reasons for variances and investigate financial performance of programs within the division.
  • Track key performance indicators (KPIs) for various programs and follow up with team members on their deliverables.
  • Analyze data and prepare regular performance reports to inform executive decision-making.
  • Coordinate with project teams to ensure timely completion of deliverables and set up meetings, track progress, and take minutes as needed.
  • Write clear and concise briefing notes for executive leadership and prepare and deliver presentations on program performance and project status.
  • Develop and maintain effective communication channels with stakeholders, including team members, executives, and external partners.

Requirements:

  • 7-10 years of experience working with executives and supporting their success.
  • Training and experience using quality improvement methodologies such as lean is considered an asset.
  • Successful completion of a Criminal Records Check and WHMIS certification.
  • Excellent communication and interpersonal skills to build and maintain effective relationships within a multidisciplinary environment.
  • Critical thinking skills and proven ability to effectively manage human and fiscal resources.
  • Demonstrated understanding and experience of quality assurance process, accreditation, or ISO.
  • Demonstrated intermediate computer literacy with word processing, spreadsheet, and/or database programs and ability to utilize a computerized client information system.
  • Ability to exercise sound judgment, sensitivity, critical thinking, and effective decision-making.
  • Ability to communicate effectively, both verbally and in writing, with all levels of the organization.
  • Ability to analyze and problem-solve complex issues towards effective solutions.
  • Ability to participate in and facilitate inter-disciplinary groups in a collaborative environment with multiple interests.
  • Ability to work effectively with others and foster a practice of cooperative effort and collaborative problem-solving.
  • Ability to maintain confidentiality and utilize diplomacy and tact in dealing with confidential matters.
  • Ability to work independently and in a team environment.
  • Effective negotiation, conflict resolution, problem-solving, and consensus-building skills.
  • Ability to adapt to changing priorities and manage multiple issues and projects simultaneously.
