Job Summary

We are seeking an experienced Executive Assistant to join our team at Sunrise Farms. As an Executive Assistant, you will provide administrative support to our Executive Leadership Team, ensuring the smooth operation of our business. This is a dynamic and challenging role that requires a high level of organization, attention to detail, and excellent communication skills.

Responsibilities
  • Manage complex calendars, scheduling, and recording meetings and appointments.
  • Coordinate virtual and in-person meetings, taking and maintaining accurate and comprehensive minutes.
  • Participate in meetings and learning events, and engage in team initiatives and projects.
  • Plan and secure complex travel arrangements for the company, including flights, hotels, and rental vehicles.
  • Provide backup support for colleagues as required.
  • Serve as the point of contact for general communications for the executive team, screening phone calls, emails, mail, and visitors.
  • Document management: conduct research, prepare correspondence, expense, and statistical reporting, and create reports and presentations.
  • Prepare and edit information products, presentations, and reports.
  • Manage various databases.
  • Research and organize data to represent senior management.
  • Prepare and submit detailed expense reports, and reconcile complex statements.
  • Use technical tools and software, such as Microsoft Office Suite.
  • Act as a virtual assistant and perform other duties as required.
  • Event planning: engage in planning for corporate events, including staff holiday parties, summer picnics, and other employee events.
Requirements
  • Minimum three years of experience as an Administrative or Executive Assistant.
  • High school diploma or general education degree (GED) required; associate degree in business administration preferred.
  • 2-3 years of experience in travel-related bookings an asset.
  • Strong verbal and written communication skills.
  • Comfortable with shifting demands.
  • Exceptional attention to detail.
  • Working knowledge of general office equipment.

We offer a competitive salary range of $80,000 - $90,000 per year, and a dynamic work environment with opportunities for growth and development.
