Key Responsibilities:- Provide exceptional administrative support to our advisors and team members, enabling them to focus on client-facing activities.
- Coordinate client onboarding, ensuring a seamless and personalized experience for new clients.
- Manage the office calendar, client appointments, and events, documenting key information as required.
- Prepare meeting documentation for client and prospect meetings, ensuring all necessary information is available.
- Coordinate client account and trade instructions, ensuring accuracy and timely completion.
- Optimize our CRM and software to support our business operations.
- Escalate client matters in a timely manner, as warranted by the situation.
- Proactively seek ways to improve client service, onboarding, and operations, providing feedback to drive business improvements.
- Minimum 2 years of experience in an administrative assistant or advisor support role, preferably in a financial advisory firm.
- Outstanding communication and interpersonal skills, with the ability to work collaboratively with all team members.
- Exceptional organizational and time management skills, with the ability to multitask, prioritize, and create systems.
- Ability to provide a remarkable client experience, anticipating client needs and delivering personalized support.
- Proficient in Microsoft Office365, Outlook, Excel, Word, Teams, and SharePoint, as well as CRM software (Salesforce, UVC).
- Knowledge of Univeris, FundServ, and basic insurance knowledge are assets.
- Completion of or working towards completion of the IFIC, CSC, and/or CPH is an asset.
- Post-secondary diploma or degree in business, finance, economics, or a related discipline is an asset.
