Job Summary

We are seeking a highly skilled and experienced Executive Assistant to join our team at BMO. The successful candidate will provide administrative support to senior executives and contribute to the effective operation of the business group.

Key Responsibilities
  • Provide administrative support to senior executives, including calendar management, travel arrangements, and expense reporting.
  • Manage and coordinate departmental events, meetings, and conferences.
  • Develop and maintain a filing system, ensuring business and operational reports, forms, and other documentation are readily available.
  • Prepare and log departmental expense claims and reports, tracking expenses to ensure they stay within budget.
  • Make travel arrangements, booking flight/hotel reservations as needed.
  • Liaise with internal business units and external vendors, participating in the local coordination and implementation of premises and building-related matters.
  • Maintain supplies inventory, checking stock to determine inventory levels, anticipating needed supplies, and expediting orders.
  • Ensure all vacation and absence scheduling is documented, taking into account critical business needs, following guidelines, and managing consistently across employees in the group.
  • Coordinate training requirements for staff, researching, booking, cancelling, confirming, and so on.
  • Collaborate with internal and external stakeholders to deliver on business objectives.
  • Organize work information to ensure accuracy and completeness.
Qualifications
  • Typically 7+ years of relevant experience in an administrative/professional support function, demonstrating progressive responsibility and a post-secondary degree in a related field of study.
  • Specialized knowledge from education and/or business experience.
  • Verbal and written communication skills - In-depth.
