Job Description:

We are seeking a highly organized and detail-oriented Administrative Support Professional to join our team at Charter Freight Services. As an integral part of our office operations, you will play a crucial role in ensuring the smooth day-to-day functioning of our business.

Key Responsibilities:
  • Office Management: Determine and establish efficient office procedures and routines to maximize productivity and minimize errors.
  • Scheduling and Coordination: Schedule and confirm appointments, meetings, and events with internal and external stakeholders.
  • Communication: Answer telephone calls, relay messages, and respond to electronic inquiries in a professional and courteous manner.
  • Data Management: Compile data, statistics, and other information to support business decision-making.
  • Supply Chain Management: Order office supplies and maintain inventory levels to ensure optimal resource utilization.
  • Customer Service: Greet clients and visitors, direct them to contacts or service areas, and provide general assistance as needed.
  • Document Management: Set up and maintain manual and computerized information filing systems, type, and proofread correspondence, forms, and other documents.
Computer and Technology Requirements:
  • Software Proficiency: Microsoft Excel, Microsoft Word, database software, and accounting software.
  • Operating System: Familiarity with MS Windows and macOS.
Area of Specialization:
  • CORRESPONDENCE: Drafting and editing written communications, including reports, contracts, financial statements, and invoices.
  • RECORDS AND REPORTS: Maintaining accurate and up-to-date records, preparing reports, and analyzing data to inform business decisions.
