Job Description

We are seeking an exceptional Executive Office Coordinator to join our team at Shein Canada. As a key member of our administrative staff, you will play a crucial role in ensuring the smooth operation of our office.

About the Role

This is a permanent position working 40 hours per week. You will have the opportunity to work in a fast-paced environment with tight deadlines, requiring strong organizational and time management skills.

Key Responsibilities
  • Compile data to prepare documents and reports for senior management.
  • Establish and co-ordinate administrative policies and procedures to ensure efficiency and productivity.
  • Supervise staff members and provide guidance on administrative tasks.
  • Analyze incoming and outgoing memoranda, submissions, and reports to identify areas for improvement.
  • Prepare and co-ordinate the production and submission of summary briefs and reports to stakeholders.
  • Plan, organize, direct, control, and evaluate daily operations to achieve business objectives.
  • Manage events, meetings, and conferences to facilitate communication and collaboration among team members.
  • Administer policies and procedures related to record management, ensuring compliance with government regulations.
  • Review and evaluate new administrative procedures to identify best practices and opportunities for improvement.
  • Establish work priorities and ensure procedures are followed, deadlines are met, and quality standards are maintained.
  • Co-ordinate and plan for office services, including accommodation, relocation, equipment, supplies, forms, disposal of assets, parking, maintenance, and security services.
Required Skills and Qualifications

  • Effective communication and interpersonal skills.
  • Ability to work under pressure and meet tight deadlines.
  • Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
  • Bachelor's degree in Business Administration or related field.
  • 2 years of experience in an administrative role, preferably in a fast-paced environment.

Estimated Salary

The estimated salary range for this position is $65,000 - $80,000 per year, based on industry standards and market conditions.
