Job Summary:
The Executive Assistant role at OutsourceHR is a seasonal position that requires a highly organized and detail-oriented individual to provide administrative support to our team. As an Executive Assistant, you will be responsible for carrying out complex administrative duties and associated tasks, including managing our annual Christmas Program, Special Events, Volunteer Program, and Grants Program.
Key Responsibilities:
- Provide high-level administrative support to the Executive Director and other members of the team.
- Manage and coordinate various administrative tasks, including data entry, record-keeping, and correspondence.
- Develop and implement effective administrative systems and processes to improve efficiency and productivity.
- Collaborate with multiple departments to maintain and foster good working relationships.
- Provide exceptional customer service to donors, volunteers, program recipients, and the general public.
- Develop and maintain a strong understanding of our organization's programs and services.
- Stay up-to-date with industry trends and best practices in administrative support.
Requirements:
- High school graduation plus additional related coursework in office or business administration.
- Minimum of five years' related senior administrative experience.
- Proven ability to work with a variety of disciplines to maintain and foster good working relationships.
- Strong computer skills and extensive knowledge of applications such as MS Office (Word, Excel, PowerPoint, Project, Outlook).
- Excellent interpersonal skills, including tact and diplomacy.
- Excellent oral and written communication skills.
- Strong sense of teamwork and ability to work independently.
- Ability to work under pressure with short turnaround times and flexibility to ensure deadlines are accommodated.
What We Offer:
- $30 - $35 per hour.
- A contract position with a seasonal schedule from September 1st to February 1st annually.
