Job SummaryWe are seeking an experienced Administrative Assistant II to join our team. The successful candidate will provide administrative support to management staff, including preparing and distributing documentation, answering telephones, scheduling appointments and meetings, making travel arrangements, and prioritizing workload to ensure timely completion.
Key Responsibilities- Prepare all written documentation, including correspondence, reports, statements, and agreements, on a timely and accurate basis.
- Coordinate meetings by ensuring participants have all necessary information and materials, receiving relevant information from managers, contacting parties to schedule meeting times, booking meeting rooms, preparing meeting materials, arranging audio-visual equipment, flip charts, and refreshments.
- Process department mail and couriers daily by receiving, opening, sorting, and distributing them accordingly, ensuring outgoing mail is properly addressed, stamped, and ready for courier pickup.
- Organize and maintain the department's filing system by ensuring all materials are securely and accurately filed on a timely basis, so documents are readily available and easily retrievable when needed.
- Supervise and maintain departmental office supplies by checking the supply storage cabinet monthly, reviewing supply requests, and ordering items that need replenishing to ensure staff have the necessary tools and equipment to perform their duties.
- Provide courteous, professional, and efficient service to internal and external clients and business associates by responding to requests for information and redirecting inquiries beyond one's scope of expertise to maintain good customer service levels.
- Perform receptionist duties, including receiving incoming calls, handling party, group bookings, and visitors in a timely, friendly, and professional manner.
- Recommend and implement enhancements to current procedures that will improve operational effectiveness.
- A Grade or equivalent qualification.
- Certificate/Diploma in Office Administration is an asset.
- Minimum to years related work experience.
- Real Estate/Property Management experience is an asset.
- Fully proficient in Microsoft Word, Excel, and PowerPoint.
- Proven organizational and prioritizing skills.
- Strong research and analytical skills.

Estimated SalaryThe estimated salary range for this position is $60,000 - $80,000 per year, depending on experience and qualifications.
