Conference Coordinator

The Conference Coordinator plays a vital role in supporting the Conferences department at Banff Centre for Arts and Creativity. This position requires a high level of client service, coordination of department activities, and daily reception to the conference office.

Key Responsibilities
  • Provide exceptional customer service to internal and external clients, responding to inquiries and resolving issues in a timely and professional manner.
  • Coordinate and maintain department filing systems, ensuring accurate and up-to-date information.
  • Prepare and distribute correspondence, proposals, and contracts for conferences and events.
  • Assist with the coordination and setup of conferences, including maintaining strong communications with facilitators and ensuring all program requirements are in place.
  • Administer welcome packages, meal tickets, and other conference services administrative requirements.
  • Facilitate internal meeting requests, including answering inquiries, completing bookings, and liaising with required departments.
Requirements
  • At least one year of experience working in hospitality, preferably hotel front office, sales, or conferences.
  • Advanced knowledge of Microsoft Office, including Excel, Outlook, Word, and PowerPoint.
  • Experience working with Adobe Creative Suite is an asset.
  • Excellent verbal and written communication skills.
  • The ability to deal with multiple and often conflicting priorities in a fast-paced and ever-changing environment.
  • Highly developed organizational and time-management skills.
  • High standards of accuracy and attention to detail.
