Job Title: Client Service Coordinator

Job Summary:

The Client Service Coordinator plays a vital role in ensuring the smooth operation of our healthcare services. This position is responsible for pre-screening initial orders, data entry, picking and packing orders, receiving and ordering inventory, coordinating pickups and deliveries, and handling customer inquiries. The ideal candidate will have excellent communication skills, be able to work in a fast-paced environment, and have a strong attention to detail.

Key Responsibilities:

  • Data entry of downloaded orders accurately and efficiently.
  • Receive and document customer inquiries using CRM software.
  • Coordinate with departments to ensure orders are in production and update orders as necessary.
  • Update client information and communicate changes to relevant departments.
  • File patient documents daily and communicate with government agencies as required.
  • Reconcile orders to ensure proper billing.
  • Assess workload and determine optimal delivery routes and timing.
  • Communicate with clients and internal contacts to meet delivery requirements.
  • Compile packages for loading and determine driver workload.
  • Coordinate transfer of packages between drivers and routes.
  • Facilitate pickup of pumps and waste as required.
  • Receive, clean, and reprocess equipment according to community standards and company policy.
  • Receive and handle bio-waste disposal according to community standards and company policy.
  • Receive warehouse inventory and communicate replenishment requirements.
  • Data enter information into Bayshore computers using various software for order tracking and KPIs.
  • Participate in documentation requirements for ISO.
  • Be available to cover various shifts, 7 days a week, all year round.

Requirements:

  • Minimum high school diploma or GED; some college preferred, plus 1 year experience in data entry, coordination, administrative support, logistics, and customer service.
  • Ability to read and interpret documents, write routine reports, and understand basic medical terminology.
  • Knowledge of second language is an asset.
  • Computer skills, ability to use Microsoft Office applications, and learn internal software applications.
  • Excellent oral and written communication skills, organizational skills, and ability to prioritize tasks.
