Job Title: Client Service Coordinator

Job Summary:

The Client Service Coordinator plays a vital role in ensuring the smooth operation of our healthcare services. Reporting to the Team Lead, this position is responsible for pre-screening initial orders, data entry, picking and packing orders, receiving and ordering inventory, coordinating pickups and deliveries, and handling customer inquiries.

Key Responsibilities:

  • Data entry of orders, ensuring accuracy and efficiency.
  • Coordinate with various departments to ensure orders are in production and update orders as changes are communicated.
  • Communicate effectively with government healthcare agencies to ensure all requisitions are complete and accurate.
  • Reconcile orders to ensure proper billing for accounts.
  • Assess workload and determine workflow, routes, and timing to optimize delivery scheduling.
  • Coordinate transfer of packages between drivers and routes in case of non-deliverables.
  • Facilitate pickup of pumps and waste as required.
  • Receive, clean, and reprocess equipment according to community standards and company policy.
  • Receive, separate, and handle bio-waste disposal according to community standards and company policy.
  • Receive warehouse inventory and communicate regarding inventory replenishment requirements.
  • Data enter information into Bayshore computers using various software for order tracking and KPIs.
  • Participate in documentation requirements of ISO.
  • Provide full open availability to cover a variety of shifts, 7 days a week, all year round.

Requirements:

  • Minimum high school diploma or general education degree (GED); some college preferred, plus minimum (1) year experience in data entry, coordination of activities, administrative support functions, logistics, and customer service.
  • Ability to read and interpret documents, write routine reports, and understand basic medical terminology.
  • Knowledge of second language is an asset.
