Our team is seeking an experienced Executive Administrative Coordinator to provide senior administrative support to our Associate Deputy Minister and Chief of System Integration. You will be essential to the effective management, coordination, and efficient operation of our office.

The ideal candidate will have excellent communication skills, a professional work ethic, and the ability to prioritize tasks effectively. As a master multi-tasker, you will ensure the smooth operation of our office by managing schedules, calendars, travel arrangements, meetings, and events.

Responsibilities:

  • Preparing confidential correspondence, reports, and presentations on behalf of senior leadership;
  • Routing and prioritizing documents, mail, inquiries, and correspondence;
  • Coordinating and managing schedules, calendars, and travel arrangements;
  • Arranging meetings and events;
  • Ensuring continuous innovation and administrative process improvements;

In addition to the above, you will manage operational processes, such as workflow monitoring systems, correspondence processing, and ensuring efficient workflows.

Required Qualifications and Experience

To be successful in this role, you should have completed a one-year business course and possess five years of senior office administration/secretarial experience in government. You will be self-motivated, work well independently, and participate fully in a team environment. Excellent grammar, proofreading, and organizational skills are essential, along with exceptional ability to manage competing priorities.

Working Conditions

Most of your time will be spent in a comfortable office setting. Your normal work week is 35 hours/week, 7 hours/day. Occasional overtime may be required. You may need to move or lift objects such as boxes, inventory, or files.
