Office Assistant, School of Hospitality, Tourism, and Applied Aesthetics
OverviewWe are seeking a detail-oriented and organized Administrative Coordinator to support the daily operations of our Hospitality Training Department. The successful candidate will provide administrative assistance to ensure the smooth functioning of the department.
Key Responsibilities- Provide exceptional customer service by responding to telephone inquiries, handling student messages, and channeling general inquiries to appropriate personnel.
- Communicate effectively with the public and staff, establishing strong working relationships as needed.
- Type exams, quizzes, correspondence, manuals, and instructor guides with accuracy and attention to detail.
- Maintain an up-to-date electronic filing system, ensuring confidentiality and control.
- Prepare written documents, signage, and promotional materials for Operational Activities within the Hospitality Training Department.
- Post information and menus electronically and update social media on a regular basis.
- Maintain up-to-date bulletin/communication board postings throughout the Hospitality Training Department.
- Monitor and maintain office supplies, retrieving them as required.
- Attend and record minutes of meetings as necessary (Advisory boards, staff program meetings, weekly production meetings, department general staff meetings, program reviews).
- Sell tickets to divisional events and deposit and record transactions.
- Grade 12 plus a recognized secretarial certificate/diploma or an equivalent combination of training and experience.
- A minimum of one year recent and relevant experience performing administrative and clerical work.
- Training and/or experience at the intermediate level in common software packages, such as MS Office Suite, and knowledge of social media platforms, website maintenance.
- Experience in minute taking and transcribing minutes.
- Knowledge of common office procedures.
- Effective interpersonal, communication, organizational, proofreading, and time management skills.
- Ability to work independently under generalized supervision.
- Demonstrates valuing diversity.
- Criminal Record Check may be required.
$55,000 - $65,000 per annum, depending on experience and qualifications.
