Job Summary

The Secretary provides administrative support to the Oncology Clinic team, ensuring a safe and efficient environment for patients, families, and staff. This role requires excellent communication and organizational skills, with a focus on maintaining confidentiality and adhering to safety policies and procedures.

Key Responsibilities

  • Receive and direct phone calls, emails, and other communications in a timely and professional manner.
  • Coordinate appointments, tests, and other clinical activities, ensuring seamless communication with the clinical team.
  • Prepare and distribute meeting minutes, agendas, and other documents as required.
  • Manage and maintain accurate records, including patient information and correspondence.
  • Assist with research documents, grant applications, and other administrative tasks as needed.
  • Provide exceptional customer service, responding to inquiries and resolving issues in a timely and professional manner.

Requirements

  • Grade 12 or equivalent, with a recognized secretarial program and medical transcription course.
  • Three years of recent experience in a related administrative role, with a focus on healthcare.
  • Excellent communication, organizational, and time management skills.
  • Ability to work effectively in a team environment, with a focus on collaboration and customer service.
  • Proficiency in Microsoft Office, with a focus on Word, Excel, and Outlook.
  • Awareness of and commitment to reconciliation, with a focus on Indigenous Cultural Safety and anti-racism.
